    Job Summary

    • The Admin & Services Officer is an integral part of the Services team, supporting the efficient and effective delivery of administrative tasks as well as services for the company including but not limited to logistics, pool car management as well as facility and guest house management.

    Specific Duties

    • Responsible for general administrative tasks to support the smooth running of the office including prompt supply of stationery and other office utilities, management of meeting rooms, to name a few.
    • Supervise office Cleaners, Drivers and Admin Assistants
    • Maintain records of Company Assets and other office equipment.
    • Raise Local and International travel requisitions for employees and Partners.
    • Arrange local hotel bookings for employees and Partners.
    • Manage logistics for local employee journeys, including booking, checking fit for purpose amongst other things of passenger vehicles and security escorts.
    • Arrange Protocol Services for international and local flights for employees and Partners as required.
    • Act as Journey Manager for Oando Journey Management Process.
    • Manage driver’s daily workload, ensuring they are appropriately assigned to vehicles and internal clients; quarterly evaluation of drivers based on client feedback.
    • Responsible for maintenance of pool cars in Lagos, Port Harcourt and Kwale.
    • Liaise with vendors / suppliers for best-in-class service offerings.
    • Prepare BPAs/PPOs as required
    • Ensure timely processing and settlement of bills in relation to services rendered to the Company.
    • Manage Petty Cash.
    • Prepare expense sheet for retirement of funds.
    • Receive documents, file appropriately (soft and hard copy) and send links to concerned staff as required.
    • Ensure procedures / processes are followed and updated as and when necessary.
    • Support improvement of service quality by updating procedures and processes; evaluating customer feedback and taking lessons learned for better service output.

    • Response time to internal Client requests.
    • Internal customer satisfaction levels.
    • Effective stakeholder management.
    • Quality, timeliness and effectiveness of office supplies ordering and deliveries.
    • Levels of variance & value of unaccounted for/missing items from the Office supplies stock, and of the companies fixed assets.

    • Ease of retrieval and utilization of general administration and fixed assets documents and reports.

    Qualifications & Experience

    • Bachelor’s Degree in any subject.
    • Minimum of 4 years’ work experience ideally in Office Admin, Services or Customer Services.
    • Good MS Office skills particularly in Excel, Word and PowerPoint.
    • Experience successfully managing a diverse range of stakeholders would be an advantage.
    • Experience of travel management especially for Senior Management Executives would be beneficial.
    • Excellent command of spoken and written English.
    • Good written and verbal communication skills.
    • Attention to detail / quality management.
    • Self-starter and a proactive thinker.

    Scope of Responsibility & Accountability

    • Data Handling: Maintain accurate records of purchases, pricing and other important data.
    • Product Purchases: Purchasing goods and services in line with the the Procurement Policy
    • Communication with the Suppliers: Via the issuance of RFQs, RFPs, ITTs etc.
    • Negotiate the best deal for pricing and supply contracts.
    • Estimating and establishing cost parameters and budgets for purchases
    • Create and maintain good relationships with vendors/suppliers
    • Making professional decisions in a fast-paced environment
    • Review and analyze all vendors/suppliers, supply, and price options
    • Develop plans for purchasing equipment, services and supplies

    Education, Work Experience, Core Skills Requirements

    • CIPS Membership (or any other equivalent Supply Chain Professional Body)
    • A good 1st Degree with a minimum of Second Class Lower from a reputable University preferably in Business Administration or any other related field with Business/Social Science background
    • Minimum of 6 years work experience in supply chain in a structured business environment
    • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel)
    • Sound Knowledge of Oracle ERP System
    • Excellent interpersonal, communication, and negotiation skills
    • Consistent ability to meet and adhere to deadlines

    Responsibilities

    • Monitoring of all customers on assigned Distribution Transformers (DT).
    • Drive cash collection activities in respect of energy billed.
    • Engage in debt recovery activities in the Region.
    • Prepare schedules for meter reading, conduct accurate meter reading and submission of data to the Billing Unit for appropriate billing.
    • Carry out accurate meter reading, proper inspection of meters, and identify cases of Energy theft, bypasses, illegal connections.
    • Prepare daily reports about all inspected customers and report findings to the Feeder Manager.
    • Preparation of disconnection reports.

    2. Electric Fitter: (AEDCEF)

    Responsibilities

    • Install, repair, and maintain electrical systems and equipment.
    • Troubleshoot electrical issues and implement solutions efficiently.
    • Ensure compliance with safety regulations and industry standards.

    3. Cable Jointer: (AEDCCJ)

    Responsibilities

    • Perform cable jointing and termination activities for underground and overhead electrical cables.
    • Conduct tests to ensure the integrity and performance of cable connections.
    • Collaborate with teams to execute projects on time and within specifications.

    4. Linesman: (AEDCL)

    Responsibilities

    • Safely install, maintain, and repair overhead power lines and associated equipment.
    • Perform pole climbing, rigging, and line stringing activities as required.
    • Adhere to safety protocols and best practices in all tasks.

    5. PC & M Engineer (Protection, Control & Metering): (AEDCPCM)

    Responsibilities

    • Design, implement, and maintain protection, control, and metering systems for electrical infrastructure.
    • Conduct testing and commissioning of protection relays and associated equipment.
    • Analyze data and provide technical support for system optimization.

    6. Distribution Substation Operator: (AEDCDSO)

    Responsibilities

    • Operate and maintain distribution substations to ensure reliable power supply.

    Required Qualifications

    • We are currently seeking a seasoned Executive Assistant to provide exceptional support to our senior executive.
    • This role is pivotal in ensuring the efficient operation of our executive office, managing schedules, coordinating meetings, and handling various administrative tasks with precision and professionalism.

    Responsibilities

    • Manage complex calendars and schedules for executives, including arranging meetings, conferences, and travel arrangements.
    • Coordinate communication between executives and internal/external stakeholders, ensuring timely responses and follow-ups.
    • Prepare and edit correspondence, presentations, reports, and other documents as needed.
    • Conduct research and compile data to support decision-making processes.
    • Assist with project management, including tracking deadlines, milestones, and deliverables.
    • Handle confidential information with utmost discretion and integrity.
    • Anticipate the needs of executives and proactively address them to enhance productivity and efficiency.
    • Provide general administrative support, such as managing expenses, filing, and organizing documents.

    Requirements

    • Bachelor’s degree preferred.
    • Minimum of 5 years of experience as an Executive Assistant, preferably in the oil and gas industry or a related field.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
    • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
    • Strong written and verbal communication skills, including the ability to interact professionally with all levels of the organization.
    • Detail-oriented with a high level of accuracy in work output.
    • Ability to maintain confidentiality and handle sensitive information with discretion.
    • Proactive attitude and willingness to take initiative in a dynamic and fast-paced environment.

    Job Title: Management Accounts Officer

    Objective

    We seek hire an experienced, competent and collaborative individual to join our finance team as Management Account Officer who will provide management with timely periodic financial reports and models to assist in decision-making.

    Main Key Responsibilities

    • Carry out Daily reconciliation of sales report to bank account statements.
    • Performance of bank reconciliations on a regular and timely basis.
    • Performance of intercompany accounts and reconciliation periodically.
    • Accurate recording of financial entries and transactions in the general ledger.
    • Working with Accounts Payable sub-unit to ensure expenses are properly accrued and captured.
    • Collation of data inputs and assumptions from various Heads of Departments in the formulation of annual budgets.
    • Provide management with timely, relevant financial information to better understand the business and cost/revenue profile.
    • Manage the budget and forecast processes by collecting all financial information necessary for the annual and strategic planning process.
    • Assisting in preparation of consolidated group financial statements
    • Assisting in the preparation of department budget variance analysis.
    • Preparation of weekly sales reports.
    • Provision of support to external auditors during statutory audits.

    Qualification/Experience/Key Competencies

    • Minimum of BSc Degree in any Finance related field.
    • Professional qualification in accounting: ACA, ACCA etc
    • 2-5 Years Post qualification experience (experience in the Downstream oil sector will be an advantage)
    • Self- motivated, a team player, dedicated, diligent and dutiful.
    • Candidate must possess thorough knowledge of bank reconciliation, good understanding of accounting treatment of inter-company transactions and other activities of related entities etc.
    • Experience and knowledge in budgeting, cost accounting, consolidation, performance reporting and financial analysis.
    • Display of high accuracy of output and attention to details
    • Knowledge of computer skills, good communication and organizational skills.
    • Ability to be a self starter with minimum supervision and team player.
