Job Title: Programs Associate

What You’ll Be Doing

  • The Programs Associate supports the successful planning, coordination, and delivery of the Talent Hub’s 6-day Upskilling Program — a key stage in Hugo’s recruitment funnel. The program equips shortlisted candidates with the knowledge, values, and functional skills required to thrive within Hugo’s high-performance environment.
  • The Programs Associate works closely with the Programs Manager to ensure seamless program execution, from curriculum management and facilitator coordination to candidate communications, daily assessments, and overall cohort experience. The role requires exceptional organizational skills, attention to detail, and a passion for operational excellence in learning delivery

Key Responsibilities:

1. Program Coordination and Administration

  • Support the end-to-end planning, scheduling, and delivery of all Upskilling Programs in line with the Talent Hub programs calendar.
  • Manage pre-program communications, onboarding materials, and candidate logistics (e.g., attendance confirmation, joining instructions, and pre-assessments).
  • Maintain accurate program records, attendance tracking, and daily performance logs for each cohort.
  • Prepare and distribute program schedules, facilitator briefs, and feedback forms

2. Curriculum and Learning Experience Support

  • Assist with curriculum reviews and content refresh cycles to ensure alignment with Hugo’s mission, values, and vertical-specific skill requirements.
  • Coordinate the setup and management of learning resources (digital and physical) required for training delivery.
  • Gather participant and facilitator feedback after each program to inform continuous improvement.

3. Facilitator and Trainer Management

  • Maintain data quality standards through routine validation, cleaning, and documentation.
  • Support the Programs Manager in identifying, onboarding, and managing external facilitators and subject-matter trainers.
  • Coordinate facilitator schedules, session materials, and compensation processing.
  • Ensure facilitators are briefed and aligned with each program’s objectives, structure, and learner expectations.

4. Candidate Engagement and Assessment

  • Serve as a point of contact for candidates during upskilling programs, ensuring smooth daily flow and timely communication.
  • Support administration of daily assessments, including collation, marking, and scoring.
  • Maintain detailed candidate performance records and prepare post-program summaries for onward screening decisions
  • Promote active engagement and a positive learning experience for all participants.
  • Prepare cohort reports summarizing participation rates, assessment outcomes, facilitator feedback, and overall program performance.
  • Track and report operational metrics such as completion rates, average assessment scores, and conversion rates from program to hire
  • Identify opportunities to streamline program operations and enhance participant satisfaction.

4. Reporting and Continuous Improvement

  • Prepare cohort reports summarizing participation rates, assessment outcomes, facilitator feedback, and overall program performance
  • Track and report operational metrics such as completion rates, average assessment scores, and conversion rates from program to hire.
  • Identify opportunities to streamline program operations and enhance participant satisfaction.

  • Bachelor’s degree in Business Administration, Human Resources, Education, or a related field.
  • 2–4 years of experience in program coordination, training operations, or HR/recruitment support functions.
  • Proven experience managing multiple stakeholders and complex schedules in a fast-paced environment.
  • Strong proficiency in Google Workspace, Excel/Sheets, and project or event management tools (e.g., Trello, Asana, or Notion).
  • Experience with learning management systems (LMS) or digital training platforms is an advantage.
